The Fahrtenbuch, or mileage log, is used to record business trips. Each trip can be assigned to a project or left as a general trip. This makes it possible to review travel effort together with time and expenses.
Create a trip
- Open Mileage Log.
- Choose Create trip.
- Select the trip date.
- Select a project or leave the trip as general.
- Enter the purpose of the trip.
- Enter the start address with street, house number, ZIP code, and city.
- Enter the target address with street, house number, ZIP code, and city.
- Mark Round trip if the route should count both directions.
- Enter the distance and rate.
- Save the trip.
Route suggestions
When route suggestions are configured, use Add suggested kilometers to calculate a proposed distance from the start and target addresses. Review the result before saving. If no route can be found, adjust the address or enter the distance manually.
Route suggestions are a convenience feature. The saved trip should still be checked by the user, especially when the route matters for reimbursement or customer billing.
Round trips
Use Round trip when the outward and return route should be counted together. The trip list shows the effective total distance and the original one-way distance.
Rates and totals
Each trip has a rate per kilometer or per mile, depending on the selected unit. Time & Bill calculates the total cost from distance and rate. Use a consistent currency and rate policy when multiple people record trips for the same project.
Monthly mileage review
The mileage log is organized by month. Use the previous and next month controls to review older trips. Filter by project when a month contains many trips.
Mileage reports
Use Mileage by interval in Reports to review trips across a selected period. The report includes date, project, start, target, purpose, round-trip status, distance, rate, currency, and total. Team mileage reports are available for team-enabled accounts.
Practical data quality tips
- Use a clear purpose, such as a customer visit, court appointment, workshop, or project meeting.
- Enter complete addresses when you want route suggestions to work reliably.
- Use the project assignment when the trip belongs to billable work.
- Review monthly totals before exporting or sharing mileage data.
